HSI Presentation Request and Guidelines

In an effort to support the broader campus in advancing Cal Poly’s journey toward becoming a Hispanic-Serving Institution (HSI), the Office of University Diversity and Inclusion offers educational presentations to departments and units. These presentations aim to deepen understanding of servingness and support campus-wide efforts to better serve Latinx students and all members of the Cal Poly community.

Below is an overview of the process for requesting and hosting HSI-related presentations, organized into four key phases: Requesting a Presentation, Preparing Your Team, Hosting the Presentation, and Identifying Action Items. This structured approach ensures that each presentation is thoughtfully planned, informative and leads to meaningful reflection and actionable next steps in alignment with our HSI goals. 

For guidance or to initiate the presentation process, departments are encouraged to contact Diana Ortiz Giron, Director of Programming and Education, at dortizgi@calpoly.edu.

Phase 1: Requesting a Presentation

We encourage departments to submit HSI presentation requests 2–4 weeks in advance to ensure adequate preparation and scheduling. Please note, for in-person presentations, departments are responsible for securing a venue with screen/display capabilities.

To request a presentation, please complete the HSI Request Form, which includes the following information:

  • Point of Contact Name and Email
  • Office/Department/Unit Name
  • Estimated Number of Attendees
  • Preferred Date(s) and Time(s)*
  • Presentation Format: 60-minutes presentation only, or 90-minute presentation with facilitated discussion
  • Modality: In-Person or Zoom
  • Accessibility Needs (if any)

As part of the preparation process, the designated point of contact will be invited to a 30-minute planning meeting with the presentation facilitator to review goals, logistics, and tailor the session to your team’s needs.

Phase 2: Preparing Your Team

Once your request form has been submitted, we ask for your support in preparing your team for a meaningful and engaging presentation. Prior to the session, please have all participants read the HSI Recommendations Executive Summary and reflect on the following discussion questions:

  • What would it look like for your department to become a truly Latinx-serving organization?
  • How might faculty, staff, and administrators in your department apply Dr. Gina Garcia’s Servingness Framework into their everyday practices?
  • In your current role, what does serving Latinx students mean to you? How might this presentation contribute to your professional growth and development?
  • Based on the Pathways to Becoming an HSI Executive Summary, what recommended practices is your department already implementing?
  • What additional resources, support, or information would strengthen your department’s HSI-serving efforts?
  • What potential obstacles might you need to address to move this work forward?
  • How is your department actively preparing to meet the needs of an increasingly diverse student body? What proactive steps can you take now to ensure your team is student-ready for the 2025–26 academic year?

These questions are intended to spark meaningful reflection and help ground the presentation in your department’s specific context, strengths, and opportunities. 

Phase 3: Hosting a Presentation

Depending on capacity we may be able to tailor select slides to reflect the specific context of your department, unit, or office.

Phase 4: Identifying Action Items

After participating in a Hispanic-Serving Institution (HSI) educational presentation, departments are encouraged to engage in a focused team discussion to reflect on how the presentation’s themes and recommendations apply to their specific roles, responsibilities, and campus impact. Below are suggestions for what departments can do to further align with Cal Poly’s broader HSI goals.
